Custom Bat Policy

Last Updated: 15 March 2026

1. Introduction

WDA Willow offers a fully bespoke cricket bat manufacturing service, allowing customers to specify their preferred weight, handle type, blade profile, grip, and other individual preferences. Every custom bat is handcrafted from premium hand-selected English willow to deliver a product tailored precisely to your playing style.

This Custom Bat Policy sets out the terms and conditions that apply specifically to all custom bat orders. By placing a custom bat order with WDA Willow, you confirm that you have read, understood, and agreed to this policy in full.

This policy forms part of our Terms & Conditions and should be read alongside our Returns & Refunds Policy and Shipping & Delivery Policy.

WDA Willow is registered in England and Wales (Registration No: 15662324), based at Unit 3B Mentley Farm, Mentley Lane West, Great Munden, Ware, Hertfordshire, SG11 1TW, United Kingdom.

2. What Constitutes a Custom Bat Order

A custom bat order is any order in which the customer specifies one or more of the following individual requirements:

  • Bat weight (in pounds and ounces)
  • Blade profile (e.g. low, mid, or high spine)
  • Handle type (e.g. round, oval, semi-oval)
  • Handle length (short, standard, or long handle)
  • Edge thickness and toe shape
  • Custom toe guard colour or finish
  • Personalised branding, name, or sticker design
  • Any other specification agreed in writing at the time of order

Standard catalogue bats purchased without modification are not considered custom orders and are subject to our standard Returns & Refunds Policy.

3. Placing a Custom Bat Order

3.1 Pre-Order Consultation

Before placing a custom bat order, we strongly recommend discussing your requirements with our team. Our craftsmen can advise on the most suitable specifications based on your playing style, height, preferred stroke play, and the type of cricket you play. You can reach us at malik@wdawillow.co.uk or call +44 7880 578057.

3.2 Specification Confirmation

Once your specifications have been agreed, we will provide you with a written order summary confirming all details including bat weight and tolerance, blade profile, handle type and length, grip colour and style, any personalisation requirements, total price and deposit amount, and estimated production timeline.

You are required to review and confirm the order summary in writing before production begins. It is your responsibility to ensure all specifications are accurate and complete at this stage.

3.3 Order Confirmation

A custom bat order is formally confirmed only when you have approved the written order summary in writing and the required deposit has been received and cleared. Production will not commence until both conditions are satisfied.

4. Deposit and Payment Terms

4.1 Non-Refundable Deposit

All custom bat orders require a non-refundable deposit of 50% of the total agreed order value prior to commencement of production. This deposit covers the cost of willow selection, seasoning, pressing, and initial shaping specific to your order.

The deposit is strictly non-refundable once production has commenced, regardless of the reason for cancellation. If you cancel your order before production has begun, we will review eligibility for a partial or full refund of the deposit on a case-by-case basis.

4.2 Balance Payment

The remaining 50% balance is due prior to dispatch of the completed bat. We will contact you when your bat is ready and issue a payment request for the outstanding balance. Dispatch will not occur until the full balance has been received and cleared.

4.3 Payment Methods

We accept payment by bank transfer, debit card, credit card, and other methods as listed on our website. All payments must be made in British Pounds Sterling (GBP). Any bank charges or currency conversion costs are the responsibility of the customer.

5. Production and Lead Times

  • Standard custom bat: 2 to 4 weeks from deposit confirmation
  • Complex or highly personalised orders: 4 to 6 weeks from deposit confirmation
  • Bulk custom orders (5 or more bats): Lead time agreed individually at the time of order

Lead times are estimates only and may vary depending on current order volume, willow availability, and the complexity of your specifications. We will keep you informed of your order’s progress and notify you promptly of any delays.

WDA Willow does not guarantee specific completion dates unless expressly agreed in writing. Delays in production do not entitle the customer to cancel the order or reclaim the deposit.

6. Willow Selection and Natural Variation

Each WDA Willow custom bat begins with the careful hand-selection of premium English willow clefts. Customers who visit our workshop are welcome to participate in the cleft selection process by prior appointment.

English willow is a natural material and exhibits inherent variation. The following characteristics are natural properties of willow and are not considered defects:

  • Minor surface cracking or checking on the face or back of the blade
  • Variation in grain colour, density, or spacing between bats
  • Small blemishes, marks, or discolouration in the willow
  • Minor asymmetry in grain alignment
  • Slight variation in the final weight (within an agreed tolerance of +/- 0.25 oz)

These natural characteristics do not affect the performance, durability, or quality of the bat and do not qualify as manufacturing defects for the purposes of a return or refund.

7. Changes to Specifications After Confirmation

Once your order has been confirmed in writing and production has commenced, changes to specifications cannot be guaranteed. Please contact us immediately at malik@wdawillow.co.uk if you wish to request a change.

  • Minor changes (e.g. grip colour, sticker design) may be accommodated at no additional charge if requested before that stage of production
  • Significant changes (e.g. blade profile, weight, handle type) after pressing or shaping has commenced may not be possible
  • If a significant change is possible, an additional charge may apply and the lead time may be extended

8. Pre-Dispatch Approval

Upon completion of your custom bat, we will contact you with photographs and a description of the finished product for your review and approval before dispatch. You will have 5 working days to review and confirm acceptance or raise any concerns. If no response is received within this period, we will proceed with dispatch.

If the bat materially differs from the agreed specifications, we will take appropriate remedial action. If the bat conforms to agreed specifications and any variation is due to natural willow characteristics, we will explain this and proceed with dispatch.

9. Cancellation of Custom Orders

9.1 Cancellation Before Production

If you wish to cancel before production has commenced, please notify us in writing as soon as possible. We will review your eligibility for a refund of the deposit. Any materials already sourced or prepared for your order may be deducted from any refund considered.

9.2 Cancellation After Production Has Commenced

Once production has commenced, cancellations will result in the forfeiture of the full 50% deposit. If production is near completion, the full order value may be required depending on costs already incurred.

9.3 Cancellation by WDA Willow

WDA Willow reserves the right to cancel a custom order in exceptional circumstances, including unavailability of suitable willow or non-payment. In such cases, any deposit paid will be refunded in full within 14 days.

10. Returns and Refunds for Custom Bats

Custom-made cricket bats are non-returnable and non-refundable except where:

  • The bat contains a confirmed manufacturing defect that materially affects its structural integrity or usability
  • The finished bat materially differs from the agreed written specifications confirmed at the time of order

You must notify us within 7 days of delivery at malik@wdawillow.co.uk with your order number, a detailed description of the issue, and clear photographic or video evidence. Upon validation, WDA Willow will offer a repair, remake, or full/partial refund at our discretion.

11. Personalisation and Intellectual Property

If your custom order includes personalised branding, logos, or name printing, you confirm that you own or have the right to use any designs or text provided to us. WDA Willow accepts no liability for any intellectual property infringement arising from customer-supplied designs.

Unless expressly agreed otherwise, WDA Willow reserves the right to photograph completed custom bats for use in our portfolio, social media, and marketing materials. If you do not wish your bat to be featured, please notify us in writing at the time of ordering.

12. Bulk and Trade Custom Orders

For orders of 5 or more custom bats, a bespoke quotation will be provided. Deposit and payment terms, lead times, and private label branding options are agreed individually. To discuss a bulk or trade custom order, please contact us at malik@wdawillow.co.uk or call +44 7880 578057.

13. Warranty on Custom Bats

All WDA Willow custom bats carry a 6-month warranty against manufacturing defects from the date of delivery. The warranty does not cover:

  • Damage caused by improper use, including use with non-leather balls or on artificial surfaces
  • Damage resulting from insufficient or improper knocking-in
  • Damage caused by exposure to extreme moisture, heat, or damp storage conditions
  • Normal wear and tear, including surface cracking and toe damage during regular play
  • Damage caused by impact with hard surfaces or accidental misuse

To make a warranty claim, please contact us at malik@wdawillow.co.uk with proof of purchase and evidence of the defect.

14. Governing Terms and Law

This Custom Bat Policy is governed by the laws of England and Wales and forms part of the overall Terms & Conditions of WDA Willow. In the event of any conflict between this policy and the general Terms & Conditions, this Custom Bat Policy shall take precedence in relation to custom bat orders.
